How Much Does a Missed Call Cost a Small Business?

September 11, 2026 · GreetDesk Team · 6 min read

Missed calls are the most expensive line item that never appears on a spreadsheet. There's no invoice for the customer who called at 6:12pm, heard voicemail, hung up and booked with someone else. To see the cost, you have to estimate it.

A simple formula

Missed calls per week × conversion rate × average customer value × 4.3 = monthly cost. Every number is an estimate, but the result is usually bigger than people expect.

A worked example

  • You miss 8 calls a week.
  • About 1 in 4 of those callers would have become a customer — 2 per week.
  • Your average customer is worth $180 in first-visit value.
  • That's $360 a week, or roughly $1,550 a month.

For a dental practice or a law firm the average value is far higher, so the number climbs fast. For a restaurant it's smaller per head but higher in volume. The pattern holds: a handful of missed calls a week is a four-figure monthly problem.

Why the conversion rate is higher than you think

People who call a business are further down the buying path than people who browse a website. A ringing phone is intent. That's why an unanswered call is more costly than a bounced web visit: the person had already decided to talk to you.

When do calls get missed?

  • While you're with another customer — the most common reason.
  • After hours and on weekends, when intent is still high.
  • During the lunch rush or the dinner rush.
  • When two calls arrive at once and a single person can't answer both.

What to do about it

The options are: hire someone, use a human answering service, or use an AI receptionist. Hiring is the most expensive and slowest to set up. A human answering service is per-call and often business-hours only. An AI receptionist answers 24/7 at a published minute rate, and for routine calls it's the cheapest of the three.

If a missed call costs $45 on average and the AI answers it for a few cents, the maths isn't close.
