Hi, could I book a cleaning for next week?

GreetDesk

Of course. Are you a current patient, or will this be your first visit?

Caller

I'm a current patient. Sarah Mitchell.

GreetDesk

Welcome back, Sarah. I have Thursday at 10 or 2:30. Which works better?

Caller

2:30 would be great.

GreetDesk

You're booked for Thursday at 2:30. I'll text your confirmation shortly.

Built around real front-desk work

More than answering the phone

Use the AI virtual receptionist for the repeatable parts of a call and give your staff a clear path to handle exceptions. You control the business information, routing rules, and calendar access it can use.

01

Answer business calls around the clock

A virtual receptionist can pick up when your team is helping someone in person, outside office hours, or handling another call. Callers hear a clear greeting instead of a busy signal or an empty voicemail box.

02

Handle routine questions consistently

Share your hours, location, services, and common policies so callers can get a useful answer without waiting for a callback. When a detail is missing, the assistant can capture the question rather than guessing.

03

Help callers book and change appointments

When your calendar is connected, GreetDesk can offer available times and confirm a booking during the call. It can also capture a reschedule request or a preferred callback window for your team to review.

04

Capture new leads and messages

The conversation can collect a caller's name, callback number, reason for calling, and other details your workflow needs. Your team can follow up with context instead of starting from a missed-call notification.

05

Route callers to a person when needed

Set clear handoff rules for urgent issues, requests the assistant cannot answer, or callers who ask for a person. A receptionist should support your staff, not trap a caller in an automated loop.

06

Send a structured call summary

After the conversation, review the request, outcome, and next step in a concise summary. Text-only notes make it easier to triage callbacks while keeping audio storage off by default.

GreetDesk supports your existing team; it does not replace professional judgment. Decide which calls require a person, keep its answers up to date, and review transcripts and summaries according to your privacy policy.

A practical selection checklist

How to choose an AI virtual receptionist

Choose a service around the calls your team needs help with, the moments a person should step in, and what information you need after each conversation.

01 / CALL COVERAGE

Start with the calls you want covered

List the situations that lead to missed calls: after-hours questions, a busy front desk, appointment requests, or new leads. A useful AI receptionist should handle these repeatable moments in a way that fits your current phone number and call flow.

02 / HUMAN HANDOFF

Decide when a teammate should take over

Write down the questions that need judgment, the callers who should reach a person, and what should happen when your team is unavailable. Clear escalation rules make an automated receptionist more helpful and keep unusual or urgent calls from getting stuck.

03 / FOLLOW-THROUGH

Check what your team sees afterward

Review the call summary, transcript, appointment outcome, and callback details before choosing a plan. Confirm how calendar access works, what data is retained, and how your staff can correct an answer or follow up when the assistant cannot resolve a request.

A short trial can show whether the voice, answers, and handoffs feel right for your customers. Test a typical booking request and a question the assistant should escalate; then compare the included minutes and overage rate with your real call volume.

Clear, minute-based pricing

Starter

$49 / month

Growth · most popular

$149 / month

450 minutes included · $0.35/min after

Scale

$399 / month

1,500 minutes included · $0.29/min after

Choose a plan by looking at monthly call minutes, not just the headline price. Starter suits a lower call volume, Growth provides more room for regular appointment requests, and Scale is designed for teams that handle a busier phone line. Each plan includes the same core call-handling workflow; higher plans add minutes at a lower overage rate. See the full AI receptionist pricing details before subscribing.

Good questions

Is an AI virtual receptionist right for your business?

Start with the questions small business owners ask about call quality, appointment booking, setup, pricing, and caller privacy.

Does it sound like a robot?

GreetDesk is designed for clear, natural turn-taking, but an AI receptionist should not pretend to be a staff member. Set an opening that identifies the assistant, choose the voice and business details that fit your brand, and follow any disclosure rules that apply where you operate.

Can it transfer to a human?

Yes. Configure when the call should reach your team, such as when a caller asks for a person or raises an issue that needs judgment. GreetDesk can route the caller to your designated line and capture context for a follow-up if nobody is available.

Does it work with my existing number?

In most setups, you can forward your current business number to GreetDesk, or use a provisioned number if that better fits your call flow. Your customers keep using the number they know; you decide when calls should be answered by the AI and when your staff should take over.

What happens if it doesn't know the answer?

It should not invent an answer. GreetDesk can take a message, collect the caller's name and callback number, and summarize the question so a team member can respond. Keep business information current and define which topics always need a human follow-up.

Are calls recorded or used to train AI?

GreetDesk does not store call audio by default. A text transcript and structured summary may be retained in your workspace to support follow-up; they are not used to train AI models. If you enable recording or transcription, provide the notices and obtain consent required in your jurisdiction.

How long does setup take?

A basic setup takes about 10 minutes: add your business details, review the greeting and escalation rules, then forward a number. Connecting a calendar or refining a larger knowledge base can take longer, but callers do not need to install an app or create an account.

How is AI virtual receptionist pricing calculated?

Plans start at $49 per month and include a monthly call-minute allowance. If you go over, additional minutes are billed at your plan rate: $0.39, $0.35, or $0.29 per minute. Unused included minutes roll over for 30 days; compare plans against your actual call volume before choosing.

Can I cancel anytime?

Yes. There are no long-term contracts or cancellation fees. Cancel from your dashboard and keep access through the end of the billing period. Before choosing a plan, review the current pricing page for the included minutes and any applicable overage charges.
